Minutes of Meeting
Held on Monday 13 th May 2013

Present:  
Angelo Sauro, Martin Horner, Pete & Sue Webb, Dave Anderson, Bryan Robinson, Hazel Bleaken, Chris Rispin, Sam Allen, Pat Sherry, Kate Bashford
                       
1. Apologies
Apologies were received from, Neil Fozard, Sue Hope, Louise Roberts, Lorraine Rutter, Hilary Rogers, Fiona Steeds and Kath Harkness     

2. Previous Minutes
The Minutes of the previous meeting were signed as a true statement.

3. Matters Arising
Bank Documents –
ongoing.
Wall – Awaiting estimates from Tom Cole and Tim Watts. Probably missed the grants for this year, but HB will see if any still available. The wall is currently safe so this is preventative action.
Hall Floor –  Putting together the information for the Loss Adjuster to support a claim for the floor repair, ideally we need a floorer to quote AS
Hall Website
– ongoing.  AS would still like feedback.
Hall Pricing KB looking into this.
Code for Gate – Agreed to change this but needs to be co-ordinated with other users, some for Health and Safety reasons. Football, Skate Park, HURG, Grass cutting FS
Maintenance
– There are a number of items that need attention: Leaking sink, emergency lighting unit showing a red light, dishwasher in bar, 2 downpipes damaged. Agreed to have a working party Saturday 15 th at 9.30
Meeting Room – Agreed to lock the meeting room when there are functions on in the main hall

4. Parish Council Report
The Parish Council had refused to pay the grass cutting invoice for May, but the contractor had responded by saying that he could not cut the grass fully due to the poor state of the ground with numerous ruts. He has quoted £5000 to rectify the problems. It appears that this covers some of the work already in hand by the Skate Park Contractors. It does not explain why he did not undertake the strimming. The play area and to the front of the Hall is under a sub-contract and the committee recorded that this area looked very good and all the grass clippings had been collected. Consideration needs to be given to collecting the grass clippings for the field. Agreed to have a meeting with the contractor and all those parties who use the field. Parish Council to organise HB

5. Skatepark Sub-Committee
The Skatepark AGM was held last week with limited attendance from anyone other than the committee.
Contractors have done some more reinstatement works and will return on the 10 th July
Confirmed showcase event will be held on 1 st September from 12-5pm.  
The committee are undertaking a survey of parents and children to find out experiences of the skatepark.
Renishaws have provided funding for a skatepark in Wotton and this may relieve pressure on the use of our park although it was reported that in the main the children were very supportive of each other with only a few incidents of "posturing".


6. Grants Sub-Committee
A grant for the boiler has been submitted amounting to £3000. the boiler will cost £5,750 so more funds are required, although the anticipated savings make it well worthwhile to progress.
A grant application has also been completed for the grid work where the HURG vehicle has caused a significant amount of damage, however, it has not been submitted due to ongoing meetings with S Gloucestershire Council to discuss the future use of the area and its ongoing maintenance & damage repair.
It was agreed to resurrect the porch application and see if there were grants available for this, quotes required.


Wishlist
These are items which will be put on hold until funds are available:
Resurface Car Park; New Kitchen; Stage Curtain Tabs; New Wall; New Grid & Soakaway

7. Treasurer’s Report
No report this month.  There is a positive bank balance of about £2,500, but a statement of finances required soon. Agreed to hold a budget meeting on 24 th June at 7.45

8. Emergency Lighting/Fire Bells/Extinguishers & Meter Readings

10. Any Other Business

KB raised the possibility of no dogs being allowed in the play area as this posed issues for supervision of children. Agreed that a notice would be placed on the gate banning dogs from the inside of the play area. They can be tied to the outside railings.

8. Date of next meeting

The date of the next meeting will be Monday 8 th July 2013 at 7.45pm

There being no further business the meeting was closed at 9.25pm.
