Minutes of  Meeting
Held on Monday 8 June 2009

1. Apologies
Apologies received from Sue Hope and Chris Rispin.

2. Previous Minutes  
The Minutes of the previous meeting were signed as a true record.

3. Matters Arising
Hall Boundary - ongoing
Leyhill –  AS/NF have compiled a list of what still needs to be done (tba). We need to decide which jobs we want Leyhill to complete.  MB suggested Sue Hewer might want to do some of the jobs and will ask her.
Energy update – Nothing to report.  AS will chase up grant application.
Bonfire night –  NF and Andy Musty to get together this week to plan the event.  
Preferred date and site to be decided.  PS offered to provide some large pieces of wood for the bonfire.
Race Night – concerns that we have not sold enough tickets to go ahead.  MB to monitor situation and make decision in the next couple of days.
Fencing – two more panels required, Cropready will pay for them and Carl to fit.
We have portable goal posts but this doesn’t seem to be helping situation.
Electrical check – MB has now received report from Steve Watts, who has a certificate for us.
Fire Action notices – MB has done this.
Disabled Access – Invoice for £1500 plus VAT received.  £5000 needed to pay for canopy which, when fitted, should resolve headroom problem.
Under-stage Storage Trolley – John Day has not yet priced this.

4. Treasurer’s Report
Treasurer’s Report is attached.  We have an outstanding bill to bar suppliers to be paid.



5. Emergency Lighting/Fire Bells/Extinguishers
All ok.  AS now knows how to do Fire Bell check.  He will show TG.  Chris Edwards again offered to carry out checks but we will decline.  AS to ask him to return all keys.

6. Playground Check
TG carried out this month’s check (attached).

7. Meter Readings
TG provided readings:  Electricity 213538;  Water 557/381;  Oil 3’ 7”

8. Correspondence
JO had RoSPA Report on the Playground.  There were no problems except for the moss.  GO has treated a small patch but the dry weather has helped alleviate the problem.

9. Any Other Business
MB re-iterated concerns for Race Night.  If anyone knows who is intending to go, please let MB know asap.  Several Committee members are available to help on the evening.

10. Date of next meeting
The next meeting will be held on Monday 13 July at 7.45pm.

There being no further business the meeting was closed at 2025hrs.
