HAWKESBURY UPTON HALL COMMITTEE

Minutes of  Meeting
Held on Monday 11th January 2010

Present:

1. Apologies
Apologies received from Sara White,  Pete Webb and  Sue Webb      

2. Previous Minutes  
The Minutes of the previous meeting were signed as a true record.

3. Matters Arising
Hall Boundary - ongoing.
Electrical check - switch for outside light needs to be taped over to avoid it being switched off with other lights.  It also doesn't stay on long enough.  AS to check settings.
Energy update - final report for grant application has been sent off. When this is received we have to pay survey fees.  Open Day meeting to be re-arranged for February.
Sports Equipment - ongoing.  AS to speak to school Head Teacher.
Chair Cleaning - awaiting reply from Chris Webster with dates.
Gate - ongoing.
Shed - Sth Glos Council are doing a risk assessment.
Signs for Toilets - these are in place.
Photocopier - ongoing.
Tree Shredding - postponed due to bad weather.

4. Treasurer's Report
No report this month, but MB reported approximately £4,000 in bank at year end.

5. Emergency Lighting/Fire Bells/Extinguishers & Meter Readings
Emergency checks all ok.  No meter readings.

6. Playground Check
Cannot get access due to bad weather.  Climbing frame is deteriorating badly and needs to be looked at.  AS to speak to Louise Roberts and Chris Edwards regarding information on original supplier.

7. Correspondence
None.

8. Any Other Business
HR advised that the WI would like to have a book box to hold approx 50 books.  They will need somewhere at ground level to store it.  It was decided that the chair store would be the most likely place.  HR/PS to check it out.

TG asked if the boiler was due to be serviced.  MB to find out.

TG reported that the wedding held last Saturday went very well and that the family had phoned him to tell him how pleased they were with the venue, bar staff etc and to pass on their thanks.  Committee wondered if these comments could be used on the website for publicity purposes.

SA asked about a meeting of "Chairmen" from various village organisations which she believed was taking place on 15/1/10.  AS confirmed that this was a casual get together to try and co-ordinate fundraising etc.  SA advised that Drama and WI had not been invited.  AS noted names of groups who were not aware of the meeting and who might be interested and will contact them.
  

10. Date of next meeting
The Annual General Meeting will be held on Monday 8th February 2010 at 7.45pm, followed by the normal Committee meeting.

There being no further business the meeting was closed at 2030hrs.
